Conditions of Reservation
1. Reservation
1. The hotel undertakes to respond to all requests for accommodation and / or other services within 24 hours of receiving an enquiry. 1.2 If the hotel is able to offer accommodation and / or The Agent requests other services, the offer will remain valid for a period of 21 days during which time the offer must be confirmed, rejected or reinstated. 1.3 The Agent must confirm all reservation by means of a fax or a letter. 1.4 The Agent must issue a Confirmation Voucher in respect of each reservation within 10 days of accepting the Hotel’s offer and this voucher must give the following details:
1.4.1 Name of Client/s 1.4.2 Number of pax 1.4.3 Date and approximate time of arrival 1.4.4 Date of departure 1.4.5 Type of room required 1.4.6 Details of meals and other services required 1.4.7 Method of settlement of the account (see 3 below) 1.5 The reservation will only be considered as finally confirmed when the Confirmation Voucher has been received and the conditions sets out under either 2.1 or 2.2 have been set.
2. Deposits
2.1 Refunds and Deposits are covered under Section 4 hereunder. 2.2 50 percent deposit on total value of booking 14 days prior to arrival2.3 Balance of the amount payable before the day of arrival.
3. Payments of Accounts
3.1 Accounts may be settled in either of two ways: 3.1.1 The Agent must make a 50% deposit 14 days prior to arrival and the outstanding balance before the day of arrival. 3.1.2 The Agent must make full payment no later than 14 days prior to the arrival of the client/s 3.2 It is an express requirement of these conditions that no accounts of these conditions that no account on behalf of The Agent, and failure to settle accounts in terms of either 3.1 or 3.2 may jeopardize future business between The Hotel and The Agent.
4. Cancellations and Refunds
4.1 Cancellations must be made in writing, or sent by fax, and must be received by The Hotel no less than 21 days prior to the reserved arrival date of the Client/s. In such cases the deposit, or the prepayment, will be refunded less a handling fee equivalent to 10% of the specific sum involved. 4.2 Cancellations made less than 10 days to the reserved arrival date will result in the deposit or the prepayment being forfeited unless The Hotel is able to re-let all or part of the reserved accommodation. Whilst every effort is made to re-let accommodation no guarantee in this regard can be given and if the accommodation is not re-let then the reservation will be treated as a “no show”. 4.3 In the event of a "no show" the deposit or prepayment will be forfeited and, if payment was to have made by the Client/s, The Agent will be debit with the full value of the reserved accommodation.
5. General
5.1 The Hotel undertakes to make every effort to meet the requirements of The Agent in respect for accommodation and other services. In this regard an assurance is given that should condition at The Hotel or in the immediate touring environment alter materially from those pertaining at the present time, The Hotel will inform The Agent as promptly as possible so that the Client/s can be advised of any altered conditions. 5.2 The conditions set out in this document must be regarded as binding on both parties if a good business relationship is to exist. Deviations from these conditions will only be permitted if there is a mutual agreement between The Hotel and The Agent. |
